About the Opportunity
We currently have an exciting opportunity for a Departmental Assistant to join our Information Systems and telecommunications team. Reporting to the Senior Manager of Information Technology, the successful candidate will provide administrative support to facilitate the department's efficient and effective operation. The successful candidate will be part of a dynamic team, dedicated to solving a wide range of technical issues while contributing to a positive and efficient user experience. The hours of work will primarily be Monday to Friday day shifts.
This is a Non-Union position. The hours of work will be Monday to Friday, 8:00 a.m. to 4:00 p.m.
More About The Opportunity
- Assists in day-to-day administration of programs that report to the Senior Manager Information Technology.
- Provides administrative support, maintains record keeping and filing systems, classifies, sorts and files correspondence, records, and other documents.
- Schedules appointments and arranges meetings as necessary.
- Uses initiative and judgment in referring incoming items to appropriate individuals for response.
- Assists with the preparation of payroll for the department.
- Composes general correspondence from brief instructions, including meeting minutes.
- Prepares and maintains a variety of documents, correspondence, reports, presentations, and related materials from handwritten or electronically produced drafts and/or dictating equipment, reviews and proofs documents and forms for accuracy and completeness.
- Retrieves data, collates, and prepares documents for submission to finance and other health organizations.
- Revises forms, policies, and pamphlets under the direction of management.
- Ensures a healthy and safe workplace by being a proactive role model, promotes the internal responsibility system and the Occupational Health and Safety Act, and encourages staff participation in all safety and wellness programs.
- Adheres to safe work practices in all aspects of the position as per policy and procedures, identifies and reports hazardous conditions and promotes a healthy and safe work environment by example.
- Promotes a work environment free from aggression and unacceptable behaviour by personal example and following organizational policies and the WPSHC code of conduct.
- Demonstrates the highest customer and patient service standards for all internal and external interactions and customers.
- Prioritizes and supports a healthy and safe patient environment by creating an environment whereby patient safety is paramount, addressing and reporting hazardous conditions as soon as identified.
- Participates in continuing education and professional development to ensure up to date and current practices in all aspects of the position.
More About You
To qualify for the role, you will need to have:
- Post-secondary certificate/diploma in Office Administration or equivalent combination of education and experience;
- Minimum of two (2) years administrative experience, excellent typing skills and experience with minute taking;
- Experience with computers and technology;
- Understanding of Microsoft Office 365 would be an asset;
- Good understanding of privacy and confidentiality;
- Demonstrated ability to work with minimal supervision while being part of an effective team;
- Excellent interpersonal communication, organization, and time management skills;
- Demonstrated knowledge of and commitment to the health centre’s mission, vision, and values;
- Demonstrated satisfactory attendance levels, work performance, disciplinary history, and positive work references;
- Ability to handle the physical demands of the job.
